JOB PURPOSE
The Senior Manager, Office of the CEO is a mission-critical position within ITFC, responsible for managing the full operational scope of the CEO’s Office, ensuring the CEO’s Office functions with optimal efficiency, confidentiality, and alignment to the organization’s strategic goals.
The role merges high-level executive coordination and multi-stakeholder engagement. It demands a technically proficient and institutionally seasoned professional capable of diplomatic communication and stakeholder interfacing within the framework of a multilateral development bank. The proficiency includes excellent writing skills, preferably in all three official languages of the organization, i.e., English, Arabic and French.
KEY ACCOUNTABILITIES
CEO Office Management & Technical Support
- Oversee the full spectrum of the CEO’s operational environment, including time management, scheduling, correspondence, mission planning, briefing and other logistics.
- Manage the development and review of high-impact communications on behalf of the CEO - including executive briefs, official letters, presentations, press releases, and speeches.
- Serve as the primary interface between the CEO and internal/external stakeholders, triaging high-priority requests and ensuring timely institutional response and alignment.
- Supervise and guide administrative personnel (e.g., executive assistants and corporate services staff), ensuring seamless daily operations, meeting readiness, and mission preparation.
- Oversee protocol management, official travel arrangements, and coordination of high-level engagements.
- When needed, accompany the CEO during his travels to handle logistical and protocol matters on the ground.
- Establish and manage Standard Operating Procedures (SOPs), institutional tracking systems, and strategic dashboards to support CEO visibility and decision-making.
Institutional Alignment & Strategic Coordination
- Act as the central coordination node between the CEO and all ITFC departments to ensure that directives are understood, operationalized, and tracked across functions.
- Monitor the implementation of decisions of the CEO, ensuring clear accountability, reporting cycles, and escalation mechanisms.
- Develop and maintain a confidential strategic log of key issues, high-risk areas, and institutional bottlenecks requiring CEO’s attention.
- Facilitate the planning and execution of internal strategic alignment meetings, knowledge exchange sessions, and special initiatives that support the CEO’s leadership agenda.
- Coordinate with the Corporate Secretariat, end-to-end planning, documentation and facilitation of all Board and Committee meetings, including agenda formulation, briefing packages, Resolutions, and meeting Minutes.
KEY ACCOUNTABILITIES
ACADEMIC AND PROFESSIONAL QUALIFICATIONS
Master’s degree in economics, finance, business administration, or a related discipline.
SKILLS & NECESSARY KNOWLEDGE
- English and Arabic compulsory
- French is a plus
- Minimum of 6 years of experience in executive office management or public service, preferably within a multilateral development bank, international financial institution, internatinal organization, or Ministry of Foreign Affairs.
- Experience in public service/diplomatic letter writing in Arabic and English is compulsary
